What this website collects, why it is collected, and who it is shared with. Based on what the site actually does.
1. Who we are
DotWeb IT Solutions is a web development and digital services company based at 240 Cornerbrook Dr NE, Calgary, AB T3N 2J2, Canada. This policy explains how we handle personal information collected through this website.
2. What we collect
Through the Request a Quote form, we collect only what you choose to submit:
- your name
- your email address
- your company name, if provided
- your phone number, if provided
- your existing website address, if provided
- the project type you select
- your description of the project
- your desired timeline, if selected
- your approximate budget, if selected
- your currency preference, if selected
- a link to project material, if you choose to provide one
Alongside a submission we also record limited technical information for security purposes: the IP address the submission came from, the browser user agent, the page it was submitted from, and the date and time.
If you supply a link to project material, we record the link as text. We do not automatically fetch, download or open it.
If you email or telephone us, we hold the contents of that correspondence in order to answer it.
3. Why we collect it
- To prepare a quotation. The project details you provide are what allow us to define a scope, timeline and price.
- To reply to your enquiry. Your email address is used to send an acknowledgement and our response.
- To carry out an agreed project. Where you become a client, we use your contact details to communicate about the work.
- To protect the form from abuse. The technical information described above is used to detect automated and abusive submissions.
- To meet legal and accounting obligations where a project proceeds.
4. Consent
We collect this information with your knowledge and consent, at the point you submit the form or contact us. You may withdraw consent by contacting us, subject to any legal or contractual obligations that require us to retain records.
We do not sell personal information. We do not send marketing email to people who have simply submitted an enquiry.
5. Service providers
We rely on a small number of providers to operate this website and our email:
- Our hosting and email provider, which stores the website and transmits enquiry email.
- Stripe, where a project proceeds to payment.
Some providers may store data outside Canada, in which case it is subject to the laws of those jurisdictions. We share personal information with providers only as needed to operate the service.
6. Payments and Stripe
When a project is agreed, a secure Stripe payment link is sent to you by email. Payment is completed on Stripe's own systems. Card details are handled by Stripe and are not stored by DotWeb. Stripe processes that information under its own terms and privacy policy.
Payments may appear on your card or bank statement using the descriptor SECUREDOTWEB. We keep a record of the quote, the agreed scope, the amount and the payment confirmation so that a transaction can be identified if you ever need to check it.
7. Security and anti-abuse
The enquiry form uses server-side validation, a hidden field that automated submissions typically complete, a minimum submission time and per-visitor rate limiting. These measures exist to keep the form usable and are the reason limited technical metadata is recorded with each submission.
Information is transmitted over encrypted connections and access is limited to those who need it. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.
8. Retention
Enquiries that do not lead to a project are retained only as long as reasonably necessary to deal with the correspondence. Where a project proceeds, records relating to the engagement are retained for as long as required for accounting, tax and legal purposes.
9. Your rights
You may ask what personal information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. Write to info@dotwebitsolutions.com and we will respond within a reasonable period.
10. Children
This website and our services are directed at businesses. We do not knowingly collect personal information from children.
11. Changes
We may update this policy. The current version is always published on this page with its revision date.
